Redeeming

Redeeming is deducting an amount from the card's balance. There is no POS integration and no special hardware — a phone or tablet with the dashboard is enough.

At the desk

  1. 01The guest shows the code or QR code on their phone.
  2. 02Scan the QR code with the camera, or look up the code by hand. Balance and validity are shown.
  3. 03Enter the amount the bill is for.
  4. 04Deduct the amount. The balance updates immediately.

Scanning in the dashboard uses the phone's own camera — there is no need to buy a scanner, and no need to install an app. The same screen reads both gift cards and tickets: the code determines itself what happens, so staff do not have to choose the right screen first.

In full or in part

A card is a balance, not a one-time value. If the visit costs less than the card, the rest stays for next time. If it costs more, you deduct the whole balance and take the difference as normal payment.

Card balanceBillYou deductRemaining
1,000 kr.640 kr.640 kr.360 kr.
1,000 kr.1,000 kr.1,000 kr.0 kr. — card is closed
1,000 kr.1,250 kr.1,000 kr.0 kr. — guest pays 250 kr. themselves

Did you deduct by mistake?

Then you reverse it. Right after a redemption there is a button at the desk — «Reverse — put the amount back» — and the amount goes back on the card immediately. If the card was completely used up, it becomes active again.

Nothing is deleted. The reversal stands as its own entry, pointing to the one it reverses, so the card's history shows both the deduction and the correction — that is how an accountant can see what happened, and that is why the balance can always be calculated from the entries.

Punch cards

A punch card is deducted one clip at a time. The balance falls by exactly one clip value, and both you and the customer can see how many clips remain.

Card statuses

StatusMeans
activeThe card has balance and can be used.
redeemedThe balance is used up.
expiredThe validity has expired.
voidThe card is cancelled, usually after a refund.
disputedThe buyer's card issuer has disputed the charge. The card is paused and cannot be redeemed until the case is settled — if the business wins, it becomes active again.

Cash payout of remaining balance

The customer has the right to have a remaining balance paid out in cash. This is recorded as its own entry type with the legally set fee cap, so your accounts can tell a payout apart from a normal redemption — the two things are not the same in accounting.

If something goes wrong

  • The customer cannot find the code — resend the order's card from the dashboard. The balance goes with it.
  • You took the wrong amount — contact us. A redemption is a line in the card's history, not something that just disappears.
  • The card has expired — its validity can be extended from the dashboard if you want to help the customer.
