# Redeeming

<https://kuvert.dk/en/dokumentation/indloesning>

Redeeming means deducting an amount from the card's balance. There is no POS integration and no special hardware. A phone or a tablet with the dashboard is enough.

## At the desk

1. The guest shows the code or QR code on their phone.
2. Scan the QR code with the camera, or look up the code by hand. Balance and validity are shown.
3. Enter the amount the bill is for.
4. Deduct the amount. The balance updates immediately.

Scan in the dashboard uses the phone's own camera. There is no scanner to buy and nothing to download from the App Store. The same screen reads both gift cards and tickets: the code itself decides what happens, so staff do not have to pick the right screen first.

## In full or in part

A card is a balance, not a one-time value. If the visit costs less than the card, the rest stays for next time. If it costs more, you deduct the whole balance and take the difference as normal payment.

> **Note:** The customer may have saved the card in Apple Wallet or Google Wallet. The code in that QR is exactly the same as in the email, so it is scanned in exactly the same way. There is nothing special to do or check. The balance on the saved card corrects itself once you have deducted the amount, so the customer is not left with an outdated figure next time.

| Card balance | Bill | You deduct | Remaining |
| --- | --- | --- | --- |
| DKK 1,000. | DKK 640. | DKK 640. | DKK 360. |
| DKK 1,000. | DKK 1,000. | DKK 1,000. | DKK 0, the card is closed |
| DKK 1,000. | DKK 1,250. | DKK 1,000. | DKK 0, the guest pays DKK 250 themselves |

## Did you deduct by mistake?

Then you undo it. Right after a redemption there is a button at the counter, «Undo: put the amount back», and the amount goes back on the card immediately. If the card was used up completely, it becomes active again.

Nothing is deleted. The reversal is recorded as its own entry that points to the one it reverses, so the card's history shows both the deduction and the correction. That way an accountant can see what happened, and the balance can always be worked out from the entries.

> **Note:** Once per redemption. If two tills press the button at the same time, the amount goes back once. The other is told that it has already happened. If the card is cancelled or frozen during a dispute, nothing can be put back on it.

## Punch cards

A punch card is deducted one clip at a time. The balance falls by exactly one clip value, and both you and the customer can see how many clips remain.

## Card statuses

| Status | Means |
| --- | --- |
| active | The card has balance and can be used. |
| redeemed | The balance is used up. |
| expired | The validity has expired. |
| void | The card is cancelled, usually after a refund. |
| disputed | The buyer's card issuer has disputed the payment. The card is paused and cannot be redeemed until the case is settled. If the business wins, it becomes active again. |

> **Note:** The status names above are the system's own (`active`, `redeemed`, `expired`, `void`, `disputed`) and are what you meet again in the API and in webhooks.

## Cash payout of remaining balance

The customer has the right to have a remaining balance paid out in cash, during the validity period and for one year after it (the Danish Payments Act, betalingsloven § 96). It is recorded as its own entry type, so your bookkeeping can tell a payout apart from an ordinary redemption. The two are not the same thing in the accounts. A fee may only be charged before expiry, must be stated in your terms and must match the cost; after expiry the till charges nothing.

## If something goes wrong

- The customer cannot find the code: resend the order's card from the dashboard. The balance stays with the card.
- You deducted the wrong amount: contact us. A redemption is an entry in the card's history and cannot simply be deleted.
- The card has expired: the validity can be extended from the dashboard if you want to accommodate the customer.
